How to Upload Appointments - Video
In this video we'll show you how to use the import utility to upload custom appointments for your attendees.
From the main event details screen, click on the Utilities button in the top navigation. Then, select the Appointments tab on the left.
We'll start by downloading an existing spreadsheet to use as a template.
There are two links for file downloads. Use the first if you are going to use a spreadsheet program to manipulate your data.
Or, if you are going to use a script or other automated means to manage your data, use the second link.
For our example, we'll use the first link.
The ID column is our system's identifier for the appointment; when you're exporting a list from another system, you may leave this column empty.
The External Key field is required; this is your system's identifier for the appointment.
Next you have the name of the appointment, followed by an optional description.
The start and end times should include both the date and the time. The time is assumed to be in your event's local time zone, unless the time zone information is included. When downloading existing appointments, the times will be shown in Universal Time.
There is an optional location field, followed by the User Email List. The User Email List should be a pipe-delimited list of the email addresses of people who should have the appointment added to their schedule.
Export your data as a .CSV file in this format, or paste it into the template that you downloaded.
Save your spreadsheet as a .CSV file.
Then, go back to the Utilities page, and select your file in the Upload Data section at the bottom of the page.
Then, click on the Upload File button.
Existing appointment records will be updated, and new appointments will be created. Any appointments not included in your upload file will be deleted.
When a user with a matching email address logs into your event, their schedule will be reconciled with the appointments that you've uploaded.
