Event Integrations FAQ

Last updated June 8, 2021

Here are some basic concepts to help you get started with an Engagefully/Engagefully EVENTS (formerly Eventsential) integration.

What is an API?

  • API stands for “Application Programming Interface”
  • It’s a tool that allows different systems to exchange data with one another

What is a Data Connector?

In the context of an Engagefully EVENTS/Engagefully integration, a data connector is a program which:

  • Runs on a scheduled basis (usually hourly)
  • Fetches data from the external system's API
  • Transforms that data as needed
  • Pushes that data into Engagefully EVENTS/Engagefully

Information you will need to provide

  • The name(s) of the external system(s) from which data needs to be imported
  • API documentation (if requested)
  • API connection information.  This may include:
    • API URL(s)
    • Authentication information (API key/token, username/password, etc.)
  • What kinds of items need to be imported?
  • If using multiple systems, which items are imported from which system?

What kinds of items can be imported?

  • Sessions
  • Speakers
  • Exhibitors
  • Custom items
  • Resources (links to an external file or web resource, associated with a parent item)
  • Registrants
  • Managed appointments
  • Year-round custom items
  • Year-round resources

Click here for more information about what fields can be imported per item.

Items that must be created manually

Some items cannot be created automatically.  For each event, these are items that must be created through the back office:

  • The event itself
  • Event roles
  • Tag groups
  • Custom content types (type definition)
