Registrant Profile vs. Participant Profile

Overview

There are two separate profiles: the registrant profile and the participant/user profile. The registrant profile is controlled only by the event organizer, and the participant/user profile only by the user.

The participant/user profile takes precedence over the registrant profile. If the participant/user turns the "Appear in social directory" option ON, the participant/user profile will appear in the Directory (Even if you, the event organizer, set the registrant profile not to appear). On the other hand, the registrant profile will appear on the directory if;

  1. The participant/user sets their participant/user profile not to appear on the Directory and the registrant profile is set to appear or;
  2. The participant/user never logging in to set their preference and the registrant profile is set to appear. If "Display in the Directory" option is turned off for both (the user and the registrant profile), only then would the user name not appear in the Directory.

If the goal is to have the participant/user have control over the information that appears in their directory profile, it is recommended that they be advised to change their profile setting through "Event Preferences" on the User Profile screen of the app to "Appear in social directory" (Enter the event > select profile > Scroll down to "Event Preferences" and select "Manage" > Slide the "Appear in social directory" switch ON). Doing this will ensure that it is the user entered information that populates the Directory profile.

Managing User/Participant Directory Preferences

On Desktop

  1. Access the event on desktop using the responsive site URL.
  2. Confirm the participant/user is logged in by checking the upper right hand corner of the webpage.
  3. Navigate to the Attendee Directory and click Directory Preferences.
  4. Here the user/participant can decide they would like to
    1. Appear in the social directory
    2. Display in the email directory
    3. Be available for messaging
  5. Please remember to click Update to save changes

On Mobile

When a user/participant accesses an event for the first time, or has logged out and back into and event, they will be presented with the option to configure their Directory Preferences before entering the event.

  1. Participants are also able to manage their Directory Preferences after they have entered the event by navigating to their profile in the app.
  2. The participant/user will need to select the event under Event Preferences and click Manage.
  3. The participant/user will be presented with their Directory Preferences which they can adjust as needed.
