Restricting Sessions By Role

RD Mobile does support the ability to restrict individual sessions by role.

Create Your Event Roles

Start by creating the Event Roles. For more information on creating Event Roles, please see the article titled "Event Roles."

Registrants with the appropriate role(s) assigned with have access to the desired session(s).

Two Methods to Lock Down Individual Sessions by Role

Once roles are created, they can be associated to individual sessions in 2 ways.

  • Editing the Session directly and populating the role
  • Though the Upload / Download Data process (Utilities)

Editing Sessions Directly

  1. Navigate to the desired session by going to the Sessions tab, then click on "All Sessions."
  2. Select and open the desired session.
  3. Click on the Edit button to edit the session
  4. In the edit view, scroll down to the Access Requirements section.
  5. In the Restricted Access field, populate the desired role(s).
    1. Note: Role(s) must already exist. For more information on creating Event Roles, please see the article titled "Event Roles."
  6. Select the desired visibility option
    1. Locked - Participants without the appropriate role(s) will see a lock and will be unable to open the session
    2. Hidden - Participants without the appropriate role(s) will not see the restricted session in the list of sessions.
  7. Locked Item Instructions (Locked items only)
    1. This allows for message to be presented to participants who do not have the appropriate role(s). This allows for instructions to be provided to potential gain access. Example: This items is lock for Gold members only. To access this content, please contact your event coordinator.
  8. Click the Save button to save your session.

Upload / Download Data (Utilities)

Note: Ensure desired Role(s) have already been created. For more information on creating Event Roles, please see the article titled "Event Roles."

  1. Navigate to the Session tab
  2. Click the Upload / Download Data button
  3. Download the Sessions for Spreadsheets.
  4. Edit the CSV file to set the desired Session restrictions based on role(s). TRUE = Yes, restrict by this role. FALSE = No, do not restrict by this role.
    1. Example: First session pictured is restricted by the role "CEO" and the second session is restricted by the role "Board Member."
  5. With the desired role(s) updated, Save the CSV file and use the Upload Data option to upload the file.
